ClinicThink LLC (“ClinicThink,” “we,” “us,” or “our”) operates the clinicthink.com and getclairety.com websites and the Clairety™ platform. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
Information We Collect
Website & Form Submissions
When you submit a contact or demo request form on our websites, we collect the information you provide, which may include your name, business name, email address, phone number, and any message content. Please do not include patient information or Protected Health Information in any website form.
Account & Customer Information
When you create a Clairety account, we collect information necessary to establish and manage your subscription, including your name, practice name, email address, billing address, and payment information. Payment transactions are processed by a third-party payment processor; we do not store full payment card numbers on our servers.
Platform Usage Data
We collect information about how you and your team use Clairety, including features accessed, queries submitted to the Clairety Decision Assistant, session activity, and error logs. This data is used to operate and improve the platform and is not linked to patient information.
Customer-Provided Content
Clairety allows you to upload documents, standard operating procedures, policies, scripts, training materials, compliance records, equipment records, vendor information, credentials, and other internal operational materials (“Customer Content”). You own this content. We process it solely to provide the Service to you.
Website Analytics & Technical Information
When you visit our websites, we may collect standard analytics data including IP address, browser type, device information, pages visited, time spent on pages, and referral source. See the section on Cookies below for details.
Protected Health Information
ClinicThink and Clairety are designed for operational practice information and are not intended for the storage or processing of Protected Health Information (“PHI”). Users should not upload, enter, transmit, or otherwise provide patient-identifiable health information to Clairety unless ClinicThink has expressly authorized such use in writing and appropriate contractual and technical safeguards have been established. Clairety is not an electronic health record or practice management system and is not intended to replace systems designed for the storage of patient clinical information.
Clairety is intended for operational information such as SOPs, policies, scripts, training materials, compliance records, equipment records, vendor information, credentials, and internal operational documentation. It is not designed for and should not contain patient records, clinical notes, or identifiable patient health information.
How We Use Your Information
- To provide, operate, and improve the Clairety platform and our websites
- To process billing and send receipts and subscription communications
- To respond to inquiries, demo requests, and customer support needs
- To send product updates, feature announcements, and policy change notices
- To generate de-identified, aggregated analytics about platform usage for product improvement
- To detect, investigate, and prevent security incidents and fraudulent activity
- To comply with applicable law and legal obligations
Third-Party Service Providers
We work with a limited set of trusted third-party providers to operate the platform. These providers process data on our behalf and are contractually prohibited from using it for their own purposes:
- Supabase — database, authentication, and file storage
- Vercel — application hosting and content delivery
- OpenAI — AI query processing. Queries submitted to the Clairety Decision Assistant are processed via the OpenAI API. Do not include PHI or patient-identifiable information in any query.
- Resend — transactional email delivery
- Payment Processor — billing and subscription management
Cookies
Our websites use cookies and similar technologies for session management, security, and analytics. Strictly necessary cookies are required for the platform to function and cannot be disabled. Analytics cookies help us understand how visitors use our websites and can be disabled through your browser settings without affecting platform functionality. We do not use advertising or retargeting cookies and do not sell cookie data to third parties.
Data Retention
We retain your account information and Customer Content for the duration of your active subscription plus thirty (30) days following termination, during which you may request an export of your data. After that period, data is deleted from active systems. We may retain certain records for longer periods where required by law or for legitimate business purposes such as fraud prevention.
Data Deletion Requests
You may request deletion of your personal information at any time by contacting us at privacy@clinicthink.com. We will respond within a commercially reasonable time. Note that deletion of account data will terminate your ability to use the Clairety platform.
Your Privacy Rights
Depending on your location, you may have rights to access, correct, or delete personal information we hold about you, or to request that we restrict or cease certain uses of your information. To exercise any of these rights, contact us at privacy@clinicthink.com.
No Sale of Data
ClinicThink does not sell, rent, or trade your personal information or Customer Content to third parties.
Security
We use commercially reasonable technical and organizational safeguards to protect your information. No internet-based system can guarantee absolute security. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
Children
Clairety is a business-to-business platform intended for use by dental practice operators and staff. We do not knowingly collect personal information from individuals under the age of 18.
Updates to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the Last Updated date above and, where appropriate, notify active subscribers by email. Continued use of our websites or the Clairety platform after any update constitutes acceptance of the revised policy.
